DESIGN AND IMPLEMENTATION OF COMPUTERIZED DATABASE SOFTWARE FOR CONFFECTIONERY BUSINESS

 

ABSTRACT

The emergence of computer into the information technology has tremendously improved all sectors of life especially ICT sector in which database management software is no exception. However “Design and Implementation of Computerized Database Software for Confectionery Business” is aimed at improving the traditional means of buying and selling, documentation files in Mr. Bigg’s database Ekwulobia which is of immense benefits when adopted by other confectionery business operators in Nigeria.

The project analyze an existing system and discover the problems associated with it which includes: delay in time and operations, inadequate storage, security, backup, replication, lack of query ability poor access of record and retrieval mode, poor rules enforcement, distance buying and selling etc. considering the demerits, the new system addressed these problems by removing the monotonous procedure.

The method of data collection used here are interview, observation and questionnaires. This research work contains input and output specified the system flowchart, the program listing as well as system requirement, the change over plans that will be useful for implementing new system. Both existing and new database software for confectionery business has problem/limitations. However, the computerized database software did not have the above mentioned functional but posses tearing and  updating facilities that is of numerous advantages over the old method. However, the only difficulty encountered during the design is financial problems.

CHAPTER ONE

INTRODUCTION

1.1       Background of the study

There is no doubt that the use of computer system has brought a lot of transformations efficiency over the manual operation especially in information management. A prior knowledge on flow and management information is the greatest asset every organization must have to stand.

The merits of database in confectionery business inspired the idea of developing a more vivid database (Computerized database software) confectionery business management for better up to date of information, hence accurate assessment and evaluation of records which helps operators or confectioners in decision making, planning, updating, interpreting, processing and retrieval etc efficiency.

Therefore, I consider it right at this point of regard as representing a controlled approach to storing the facts and figures of choice to the staff and establishment in general. This calls for the need to computerize the activities of confectioner and in Mr. Bigg’s Ekwulobia. Also it is advisable for other institutions to adopt this trend for better society.

Hence I consider it good to introduce this database software to confectionery manufacturers and managers in Nigeria to help them manage all activities in their business by providing them platform for storing billions of data and managing it efficiently, timely information, financial records and services, quick updating, easy retrieval, smart securities etc.

 

1.2       Statement of the problems

During the research work, some problems were discovered and this project aimed at rendering the solution to the problems, namely:

·        Time wasting in managing records/files including missing files and records.

·        Inaccuracy due to volume of work

·        No validation in form issues to daily sales

·        Wastage of finance, paper and ink

·        High cost due to materials or inks

·        Insecurity due to lack of encryption

Also, research exposes many redundant files which waste money, paper and ink. As a result of problems, there is need to eradicate semi-manual management of information system completely by providing computerized database software for confectionery business management in order to remedy the situation and increase the efficiency of the system.

1.3       Aims and objectives

This project has the basic aim of designing computerized database software for confectionery business management records for Mr. Bigg’s Ekwulobia with the following objectives.

1.   To increase efficiency and effectiveness of operation (speed or accuracy financial)

2.   To ensure data and information integration and security in an open access to environment

3.   To develop a system that would ensure easy retrieval update and accuracy of records or data

4.   To provide a system that will provide no redundancy

5.   To improve and ensure accurate/immediate information in order to avoid timelessness

 

1.4       Significance of the study

Events has revealed some lapse and inefficiency of the semi-manual method of keeping confectioner and records namely: stealing and handling of forms, lack of fund to innovate the existing system, ink, improper method of filling of records, delay in updating due to file movement from one person or department to another, unity outlook of some modified records sequel to the above mentioned difficulties, I consider it necessary and important to develop a computerized method of confectioner recording in view to contribute immediately towards eradicating completely all the difficulties listed above and they provide increase administrative efficiency and level of job enrichment. The software will also help users and staff of Mr. Bigg’s Ekwulobia in the updating and manipulating hence user friendly

 

1.5       Scope of the study

The study is directed towards the design of computerized database software for confectionery business management. The records should be design in such a way that information about confectioner management can be well stored and obtain quickly, accurate and clearly whenever they are needed. The ambiguity or eliminated by the new computerized approach.

 

1.6       Limitations of the study

Inadequate fund narrows my project work by limiting I in visiting many confectionery business places or stores. Corruption in Nigeria is another limitation I faced during the study, the confectioner refuse to grant me access to some portion of her system due to frauding in our economics/country. Insufficient time for discussion and orientation that would have given me the full required background though I use my deductive reasoning well and she open up by oral communication.

 

1.7       Definition of technical terms

COMPUTERIZATION: This is a process of transforming manual base system to a computer based system.

DATABASE: This is an organized collection of information stored in a computer disk and accessed with a database management.

RECORD: Is all collection of all information (data) on one item in a database.

DATA: Simply means facts and figure

FILE: Is a collection of information stored together under a particular name also called document.

MANAGEMENT: Here management is viewed as the act of running and controlling an organization (administration) in a formalized way for the success of the organization. Also, this can be refers as planning, organization and controlling the activities of others or systems to achieve as efficiently as possible, the state goals of an organization.

STAFF: All the workers employed in an organization.

SYSTEM: A collection of inter-related component or part working together to achieve a particular goals

CONFECTIONERY: The business or occupation of manufacturing foodstuffs that taste very sweet

BUSINESS: Is undertaking that involves capital investing and risks for chances of success as well as failure

SOFTWARE: Simply means set of computer instructions anything that can be stored electronically in the computer disk (hardware).
