1.0 INTRODUCTION
1.1
BACKGROUND OF STUDY
Records:
is any document or other source of information compiled, recorded or stored in
a written form or in a film or by electronic process, or in any other manner or
by any other means.
System:
is a collection of interacting, interrelated or interdependent elements or
units or subsystems that are working together to achieve a desired goal.
Therefore
Record system is made up of the entire important field needed for a particular
data name joined together to give an overall detail about the data-name.
For
the smooth running of every firm like the one under study Calidon Manufacturing
Company NIG. LTD. Concise record systems which will have the detail of every
staff have to be available.
Staff
record system therefore is all about the record of every staff (worker) in an
organization or company. In a more detailed way it can be said to be made up of
some kind of electronic database backed up by a paper document. It is known
that almost all the firms are enjoying the benefits of staff recording
including the firm under study; Calidon Manufacturing Company because it helps
to give the firm everything about each worker and it ease management of the
firms. But the increment in the number of worker and the growth of the firm is
now making handling of staff record and its processing very difficult manually
and even full of inaccuracy thereby looking for a way out.
The
computerized staff record system is now the only way out of this damn, which
will help processing of staff records and its updating within a short-time
interval.
1.3 STATEMENT
OF PROBLEM
The
staff record system that is to be computerized are to solve the problem of the
existing system which are;
1. Misplacement
of lost file – file for some staff may be lost because the record about those
staff are on a paper.
2. Redundancy:
a particular data about a particular staff may be duplicated, with the paper
containing irregularity in updating file.
3.
Inefficient mode of storage and
processing.
1.3 OBJECTIVE
OF THE STUDY
Whereby
the need of introducing a computerized system has been identified it is very
important to state the objectives for the new system, which are;
1.
To eliminate problem of processing staff
records.
2.
To maintain staff record in computer
readable form.
3.
Calculate the wage/salaries pertaining
to each of the staff depending on the rank, date of employment, working hour,
without any error or alteration, in duplication of file.
4.
To design a system that will also
prevent wastage of proposal form since the records of a rejected proposal will
simply be deleted.
1.4 SCOPE
OF THE STUDY
The
project is restricted to only the case study of Calidon Manufacturing Company
NIG. LTD. The project can be embraced by any similar company which is involved
in the field and has records of each staff in the likewise business. But the
only difference would be in the field to be filled in the record of each staff.
And the record of each staff should bear the entire field in the existing
system plus the additional ones.
1.5 SIGNIFICANCE
OF THE PROJECT
The
project will help the firm for the accurate processing of the staff record and
give an updated statement of each staff record 24 hours. It will also convince
the firm that a computerized staff record system is the best way with which
firm will be managed.
1.6 LIMITATIONS
OF THE STUDY
Time
factor affected the research very immensely because it took us time to gather
the much information we could from the system users and manager of some
departments concerning the staff record and we couldn’t get some that are not
within reach at that time but we tried and used the ones we gathered to design
the system.
Finance:
Due the time wastage in trying to get more data it also took us much
financially, which also was a factor that contributed to not striving to gather
much dada.
1.7 DEFINITIONS
OF TECHNICAL TERMS
File:
A file is an organized related record.
Field:
A field is an area of a record reserved
for one particular type of data.
Character: A character is the smallest unit element in a field. It can be
alphabetic or numeric in a field.
Database:
Is a single collection of structured data stored with minimum of duplication of
data item so as to provide a consistent and controlled pool of data.
1.8 CONTRIBUTION OF ICT BODY OF KNOWLEGDES
Up
till now, Student Record Management has been a thorn in the flesh of many organizations
and companies in the country, example, Calidon Manufacturing company Ltd. Due
to the facts that all activities of the staff Information and Management System
of some company are done manually, as a result of this, various problems have
been encountered from the company from obtaining timely, updating to and
retrieval of staff information, delay in attending to staffs due to inefficient
management system. ICT body of knowledge has helped to provide the company with
software for managing staff financial records and also to enhance the activities
services to the staff.
