Abstract
There were number of problems associated with adopted
manual methods to register student information in the Faculty of science
National Open University these followed regulations caused delay in the
delivery of services to students, inaccuracies in the completion of tasks and
so on. A new system designed and implemented by using the tools of Microsoft
Visual Studio 2010 (.Net Framework Environment) and Microsoft SQL Server 2008
R2 to solve most of the problems and obstacles resulting from the use of the old
methods and techniques. The main work of the software design process included
requirements analysis, database description and logical structure design of the
data. Database System test results show that the database system meets the
requirements of each module with a graphical user interface and simple
procedures. Student data can be updated by the administrator of the system
efficiently, accurately in a short time and in a flexible manner. Finally
concluded that adopted this new database student management system helps to
accomplish the tasks at high speed and accuracy, also helps the management of
the college in speed of decision-making, which helps raise the level of
performance of the college in general.
CHAPTER ONE
INTRODUCTION
The
development and invent of technology have created high demand for easy job
performance in organizations, companies and institutions of learning. These
technologies have brought about “Globalization of the world economy”. No one
goes to people’s houses for message and letter deliver anymore. What you just
need to do is to hook up with an inter-networked system and then, you can send
your message.
In
our institutions, much difficulty has been experienced in manual processing of
students database. A newly admitted student stands in a long queue waiting for
his/her own turn of service.
Database
management of students’ registration system designed to enable the old students
admitted newly into an institution of learning to get them registered anytime
and anywhere without even appearing at the institution. This is achieved by the
use of computer network (Internet). The system enables the intending students
to view or checkup courses offered by the institution, its academic
requirements and its students’ lists which can be accessed using a scratch card
that could be obtained after payment of a stipulated amount at designated
centers across the globe.
The
system addresses the number of students who have been offered admission as well
as the student's database which will hold all necessary information that was
supplied by a student during registration and time of purchase of form.
The
system takes user input of candidate’s WAEC, Jamb Result, Passports, (where
necessary) and other necessary admission requirement. If there is any missing
prerequisite of a student, the system detects it and rejects the registration
process, but if the requirements is completed, then the system issues a
registration number to you and accepts your process by giving you an admission
confirmation slip online.
This
project provides the means of registering students as well as managing their
information using Faculty of science National Open University as a case study.
It lays its emphasis on the basis where users of the system complete their registration
process or procedure easier and faster and as well be managed efficiently. The
system can be called “Database management students registration system”.
1.1 BACKGROUND OF THE STUDY
The
National Open University was initially established on 22 July 1983 as
springboard for open and distance learning in Nigeria. It was suspended by the
government on 25 April 1984. In 2011, NOUN had about 57,759 students. The Vice
Chancellor is Prof. Vincent Tenebe. The National Open University of Nigeria
operates from its Administrative Headquarters in Victoria Island, Lagos,
with Study Centers throughout the country. It offers over 50 programs and 750
courses. The school has done its 18th convocation as at 2011 making
the institution 49 years of stay.

1.2 STATEMENT
OF PROBLEM
The
manual procedure currently used in the students registration by the school has
been generating some problems as stated below:
1.
Delay in the admission process
2.
Inadequate information about existing departments and their requirements.
3.
Permission of Unqualified candidates.
4.
Data Insecurity caused by the database used.
5.
Poor management and maintenance of students
1.3 AIMS AND OBJECTIVES OF THE NEW
SYSTEM
In
this research, computerize admission processing system has the following
objectives:
1.
To modernize the process of
registration system
2.
To control and have a common database
about students registered in the school.
3.
To facilitate the registration and
admission process.
4.
To provide analytical treatment of data
using computer to maintain and manipulate student’s record.
1.4 SIGNIFICANCE
OF THE STUDY
This
is aimed at improving the registration, admission and management process of
Faculty of science National Open University through the use of computers,
thereby leading to the cost effectiveness, time management and greater income
to the organization.
1.5 SCOPE OF STUDY
This
project work is centered on the registration of students of Faculty of science
National Open University. It involves all necessary information needed during
registration of students into the University. It also involves the various
courses offered in the school, their requirements and registration which could
be filled online anywhere in the globe provided that the computer system used
is connected to the internet.
1.6 LIMITATIONS OF STUDY
This
project would have been designed with the original copy of a web based
programming language like Java and Oracle database management system, with
which the system would have been loaded to the internet after obtaining a web
space from the host administrator, but the cost of implementing this language is
too high.
In
addition, due to lack of web-based resources, it has been designed with php
IN-ADEQUATE
TIME: There are limited time factor to do this study and it is greatly
affecting the rate at which the research is being done.
1.7 DEFINITION OF TERMS
Admission:
This is an act of accepting a series of qualified students or candidates into
departments of their choices provided they complete the school requirements.
Management:
This is an act of maintaining the students’ information (register, delete, update);
Registration:
This is the process of supplying peculiar information of a student to the
school in order to be given a registration number as a bonafide student.
System:
This is the collection of component elements such as devices, human persons,
units and sub-units that work together to perform specific tasks.
Database:
This is an organized collection of structured and related records kept for
future reference and use.
Update:
It is an act of altering the original value of the content of a master file by
adding, deleting or changing record contents.
Registration Requirements:
This is the minimum prerequisite a school sets for a candidate which he has to
meet in order to be registered into an institution.
Online:
A system is said to be online when it is activated and ready for operation
capable of communicating with persons connected with the computer system in
which it is secured.
ODBC (Open database connection):
This is used to connect database created with access to the main program
written with any of the programming languages.
Browser:
This is a program that enables computer system to locate, download and display
document containing texts, videos, graphics etc. located on computer ne1.6
Internet:
This is the connection of several computer systems together for the purpose of
sharing information.
